Open Records Request

Procedures

Chapter 552 of the Texas Government Code, also known as the Public Information Act (PIA), gives the public the right to access the files or records of a Texas governmental agency. The PIA requires a governmental entity to produce documents in response to appropriate requests, unless those documents are somehow exempt from disclosure.  It does not require a public body to prepare answers to questions, perform legal research, create a new document in response to a request, or comply with a continuing request to supply information on a periodic basis.

HOP 10.1.6 sets forth procedures The University of Texas at Brownsville follows for complying with the Act. For more information about the Texas Public Information Act or open records requests, you may wish to refer to the Office of the Attorney General's Public Information Handbook.

How to Make an Open Records Request

Requests for records under the Public Information Act must be in writing. Including the following information in your request will help ensure that you receive the information you want:

  • Name and contact information (so we can send you the requested information)
  • Phone number (to clarify any questions we have about how to respond to your request)
  • A description of the specific information you are interested in, including time periods. Try to be as specific as possible about the information you are seeking.

Where to Request Information

Requests can be mailed, hand-delivered, faxed, or submitted online. Request should be directed to the Vice President for Business Affairs:

Costs and Billing

Charges for copies of public information are set by the Office of the Attorney General. If the charge for fulfilling your requests exceeds $40.00, we will provide you with an itemized written estimate of the charges and indicate if a less costly alternative is available. You must respond in writing within 10 days after the estimate is sent that you will accept the costs, or that you desire any stated alternative. If no written response is received in the time allowed by law, your request will be considered withdrawn. Click here for a summary of charges for public information.
