Performance Review

At the beginning of the calendar year all full time employees need to be reviewed and then new goals set for that year. Supervisors need to ensure that an employee’s performance goals are linked to the goals of the University’s strategic plan.

There are four parts to the review process:

Pre-Review Preparations

  1. Supervisor schedules an appointment with the employee giving adequate notice.
  2. Supervisor provides the employee with a copy of the form with tasks and standards agreed upon at the last performance review.
  3. Supervisor asks employee to review and evaluate his/her performance related to each task and bring it to the initial meeting.
  4. Supervisor asks the employee to think of new tasks/goals that he/she would like to accomplish over the next year. Bring suggestions to the initial meeting.

The Initial Meeting

  1. Supervisor and employee listen carefully to each other as they evaluate each task to see if each standard was met, exceeded or not met.
  2. Review the department’s goals and objectives in relationship to the employee’s job.
  3. Review the employee’s job description in relation to the actual work done. Does it need revision? Is the employee being challenged? Are they ready for more responsibility?
  4. The supervisor and the employee will identify major tasks and standards for the new review period which are mutually agreed upon by both the supervisor and the employee.
  5. Be prepared to discuss career development plan.
  6. Set a day and time for the follow-up meeting.

Individual Feedback

  1. Employee will write an overview of their performance for the year and e-mail it to the supervisor who will cut and paste it on the reviewed form.
  2. The supervisor will write an overview of the employee’s performance which will be incorporated into the Performance Review.
  3. Supervisor types up both reviews.

Follow-up Meeting

  1. Go over the now complete Performance Review form from last year. If all is correct then both the supervisor and employee signs and dates. The original goes in their file in Human Resources while both the employee and the supervisor keep copies.
  2. The supervisor provides the employee with a copy of the new Performance Review with the tasks and standards for the upcoming year.
