Welcome to the UTBNext Project newsletter.  In this monthly newsletter we want to give you an update on the project progress, highlight one of the new functionalities of the new system, and share with you what is coming next. UT Brownsville (UTB) is currently implementing a new Human Resources and Financial Management software system called PeopleSoft that will be replacing those current functions in the Datatel system. The project, dubbed UTBNext, began in fall 2011 and is expected to be completed by March 2014. UTBNext is part of a system-wide effort known as UT Share to implement one common platform for all campuses. 

What we are doing now

Phase 4The UTBNext team is now in Phase 4 (Testing and Training) of the PeopleSoft UTBNext project. Current efforts continue to be focused on integration testing.  Round one of testing began in late August and will conclude in late October.   Round two of integration testing is scheduled to begin November 4.  The team has been expanded to include a number of individuals from across the campus.  Employees from Business Affairs, Institutional Research, Facilities Management, Sponsored Programs, Human Resources and Academic Affairs are all contributing to the effort. The goal of integration testing is to make sure business processes can be successfully executed from end to end in PeopleSoft.

In addition, the team is working on making sure everyone has the appropriate access in PeopleSoft when the university goes live on March 1, 2014. The plan is to have security in place for end user training which is scheduled to begin in the next few months.

What it does for me

Beginning March 1, 2014 faculty and staff will begin to utilize the Employee Self-Service (ESS) functionality in PeopleSoft using the online portal.  Employees will have the ability to view and edit personal data, view work schedule and paychecks, make changes to direct deposit, and review tax information.  In addition, employees will have the ability to search and apply for UTB job openings using ESS.

In the summer of 2014, employees will have the ability to report time worked, submit travel applications and travel expense reports, and manage benefits through employee self-service.



What is next

The UTBNEXT team will begin the next round of integration testing.  During the testing period, over 850 scenarios will be tested to ensure that HR/Finance related business processes are successfully completed in PeopleSoft.  Team leads will coordinate the testing of a multitude of interfaces and operational reports throughout round two which is expected to end January 2014. In addition, training materials will be finalized in preparation for the launch of employee training in the next few months. Stay tuned for more information on training in our next newsletter.
